Limit Admin Access by Role or Responsibility

Looking to tailor access for your team? You can easily configure administrative permissions so that users only see and manage what’s relevant to their role—giving you more control without sacrificing flexibility. Access for administrators can be limited by Event Groups, User Groups as well as a variety of administrative functions including:

  • Viewing and editing volunteer data
  • Viewing and editing events
  • Viewing and editing registrations
  • Running reports
  • Editing event groups/user groups
  • Activating Kiosk
  • Emailing or texting volunteers
  • Editing or creating landing pages

Streamline Volunteer Onboarding/Approval Processes

Advanced Permissions can be used to build customized onboarding experiences that unlock access as volunteers progress. For example, new volunteers can be limited to orientation events after creating an account. Once orientation is complete, they can be granted access to additional opportunities. With role-based permissions, you can also assign access based on training completion, just add volunteers to the appropriate User Group, and the system handles the rest.

Design Your Onboarding Process

With VolunteerHub, you can define what your ideal volunteer onboarding and approval process should look like. Consider whether new volunteers should be able to register for events right after creating an account, or if certain prerequisites must be met first. Do you require volunteers to complete an orientation, background check, interview, or other screening before participating? Create Limited Admin Roles

Setting up administrative roles in VolunteerHub is easy, you’ll start by creating user groups that reflect the different levels of access you want to grant. For example, you might create a main group called “Limited Administrators” or “Staff,” and then add subgroups beneath it for specific admin roles—like event managers, group coordinators, or check-in supervisors. Each administrative user group can include a clear description outlining what that role is allowed to do.
